How much does it cost?
We have four plans, starting at $39 per month. They include the same features, the only difference is the number of “users” and “active clients” your practice has.
A “user” is anyone who works at your practice. This could be a provider, office manager or a student.
An “active client” is someone who is currently receiving care. After their care is complete they can easily be made “inactive”. Their records are always available but they won’t count against your “active client” total.

Can I use this outside the United States?
Yes. It works the same in any country. Plus, we gladly accept Mastercard or Visa from anywhere in the world.
Is there a free trial?

Do I need to sign a long term contracts?
There are no long term contracts or hidden fees. Your account is active the moment you sign up and you can cancel anytime.
What types of payment do you accept?

What is the best way to switch from paper to Private Practice?
Start by only adding new clients. You’ll gradually make the transition over 9 months and avoid the sudden shock of everything suddenly being different. You also don’t have to “find the time” to enter in all your current clients’ data.
At any point if you decide you want all of your active clients in the system, scan their existing chart as a PDF file and upload it to their “Files” section. Now the chart is accessible from anywhere.
Will this work on my PC or Mac?
Yes. Private Practice is web-based software and will work on any computer with Internet access (Mac, PC, Linux).
Will it work on my iPad?
Yes. It works great on the iPad. The only small wrinkle is the iPad doesn’t have a file system like a regular computer so uploading files like PDFs or Word documents doesn’t work. The good news is it has no trouble viewing and sending any attached files already on the system. You can also do everything else on the iPad and attach files later when you are on your regular computer too.
What about other tablets?
The iPad is our favorite because our product works seamlessly. Other tablets can be hit or miss. We recently tried the Kindle Fire and Google Nexus 7 and have reviews for them here and here.
Will it work on my iPhone, Android, or Palm phone?
Yes, it’s smaller but works just the same.
What is web-based software?
It is software you use over the internet with a web browser. You don’t have to install or download any software. If you use an online bank or web-based email programs like Gmail, Hotmail, or Yahoo Mail then you’ve already used web-based software.
Why is web-based software better?
When you use web-based software you don’t have to worry about anything technical. We handle all the security, backups and upgrades. If you ever lose your computer to theft or accident you don’t lose your data. Just login from another computer and it’s all there.
What web browsers work with Private Practice?
Internet Explorer 8 and higher, Firefox 3 and higher, Safari 4 and higher, and Chrome 4 and higher.
What happens when I don’t have Internet access?
Use any text document program you already have (like Word) to capture your notes. When Internet access is restored you can copy and paste them into Private Practice.
PRIVACY AND SECURITY
Is it HIPAA compliant?

What about security?
We have the federal government’s ONC-ATCB certification for Privacy and Security measures that meet the highest governement standards for oversight and protection of private health data. We use greater than bank level security to protect your data. Everything is written to multiple disks, backed up twice daily, and stored in geographically diverse locations.
Can I keep a copy of my data on my computer?
Yes. However, the most secure place for your data is on our system where it is protected from fire, theft, or hard drive loss. You can get your charts out any time you want. Just use the “Refer or Transfer” button. It creates a clean, professional looking PDF file of your clients chart.
Does it have a Prenatal Flow Sheet?
Does it have a Medical History?
Yes. We have a very extensive intake and history form. Plus, your clients can fill it out in the comfort of their own home, saving you tons of time. When they are done, you’ll be notified by email and can review their form and flag any items you want to talk to them about during their initial visit.
Does it have Prenatal and Well Woman Physical Exam forms?
Yep. We have both.
What about a Lab Summary?
Yes. The labs summary also includes a flow sheet, flags and a review feature.
Yep…we have that too.
Does it have Labor?
We have the most flexible labor and immediate postpartum charts in any Electronic Health Record.
• Chart the mother and baby as a unit in the time after birth.
• Set reminders for FHR, Maternal Vital Signs and more.
• A status banner shows you if membranes are intact, the time since they ruptured or the time since the birth.

Can I attach electronic document files or will I have to scan the documents?
Any electronic documents can be easily attached to your client charts in Private Practice. This includes PDF files as well as other common formats such as Word, Excel and photos too. Of course, if you have a scanned document it can be attached too.
Will it do electronic prescribing?
Sorry, no. Our vision is to create software that is simple and easy to use. In the future, we are looking to create a seamless interoperability with modular eprescribing programs like Dr First.
Will it work with MANA Stats and the AABC UDS?
We will be linking Private Practice to MANA Stats and the AABC UDS in the future. Stay tuned.
Can I add custom fields?
In some places, such as labs you can add custom fields. This is something we’ll expand in our upcoming features. For now, the system is designed to be very flexible, much of the information you might put in a custom field can be added in more general areas such as progress notes.
Can we save reusable templates of progress notes?
We have reusable to-do list templates but for text templates we prefer to use “text expander” programs that save these kinds of repeatedly typed phrases and lets you use them in any program…not just Private Practice. Our favorite on the Mac is called TextExpander. On the PC we’ve heard good things about PhraseExpress. To see this in action watch our Templates video.
If I send a message to someone will they get it in their email or will it pop up when they log in to the system?
When you post a new message you have the option of also sending it to people via email. If the recipient replies to the email message, it automatically appears in Private Practice as a comment. This keeps all communication in one central location while not requiring people to go to the system to reply.
MEANINGFUL USE INCENTIVES
Can I receive ARRA stimulus money for using Private Practice?
Yes! On May 15th 2012 Private Practice received the federal government’s “meaningful use” stamp of approval by earning Modular Certification. Our primary goal of Modular Certification was to assure our users that Private Practice uses Privacy and Security measures that meet the highest governement standards for oversight and protection of private health data.
In order to qualify for the rebate, you must be a CNM (or physician) and you must provide care via Medicaid at least 30% of the time. You must also use one or more EHR products that are certified and either alone or combined allow you to meet ALL of the Meaningful Use criteria set forth by Center for Medicare and Medicaid Services (CMS). Finally you must practice in a state whose Medicaid department has begun offering the rebate. There is a lengthy application and attestation process once you have determined that you qualify.
